OVC Consulting was established 28 years ago and is a prominent management consulting, assessment, and training provider in Lithuania. They specialize in designing and implementing customized solutions to address the distinct requirements of their customer. OVC Consulting has 32 employees with 18 certified consultants who provide an impartial opinion and implement complex actions to produce desired changes.
OVC Consulting faced two primary challenges in office management. Firstly the company has 32 employees but only 17 workspaces and 3 meeting rooms. While some employees worked remotely sometimes, there were instances when they needed to use the office, leading to difficulties in finding available workspaces, especially on days when more people decided to come to the office. Some consultations and trainings were conducted via video call, requiring a quiet workspace or meeting room. Therefore, the company needed a solution allowing employees to check the availability of workspaces and meeting rooms without physically entering the spaces and disturbing their colleagues.
The second issue arose from the company’s location in the old town, with only 5 parking spaces for all employees. They needed a solution that allowed employees to reserve parking spaces in advance, facilitating travel arrangements. And after they implemented the TableAir parking reservation system, they noticed that employees booked a parking space in advance, but sometimes their plans changed, preventing them from coming to the office. Unfortunately, they sometimes forget to release the parking space for others to use. To maximize the utilization of the parking lot, the company also needed to implement a check-in system.
OVC Consulting Goals
OVC Consulting decided to implement a resource reservation solution to solve the fewer workspaces than employees challenge and to be able to use the parking lot efficiently. After implementing the TableAir solution, all 32 employees can reserve 17 workspaces and 3 meeting rooms. Colleagues can always identify through the mobile app or the web dashboard which space is reserved without entering that room and disturbing colleagues’ work.
To fully utilize the 5 parking spaces, OVC Consulting decided to use the TableAir parking reservation system so that the employees could reserve the parking spot in advance. But after some time, they understood that sometimes plans change, employees who booked the parking spot can’t come to the office, and the spot isn’t utilized. So they decided to implement a check-in system with QR codes. After employees arrive at the office, they can scan the QR code to check in to the reserved parking space. And suppose the employee who has booked the parking spot in advance does not arrive and check in – the system automatically cancels the reservation so that other colleagues can reserve it. Since the parking lot is underground and sometimes there is no mobile connection, the QR codes are also placed in the office for them to check-in.
